Receptionist/Administration Assistant [Australia]


 

We are a busy Psychology Clinic based in the inner South Eastern Suburbs of Melbourne looking for an Administration Assistant to join our team. We are after a mature, responsible individual with great communication skills and customer service skills, as well as be able to work well under pressure. This is a job shared position.

Some tasks and responsibilities may include:

· Maintaining calendar, scheduling meetings, and booking appointments.

· Replying to Bookkeepers, managing expenses, and bill-paying.

· Help keep schedules and routines.

· Sorting documents and materials into our online folder structure.

· Answers telephone calls and taking detailed messages as required.

· Pro-actively chasing up the required documentation and information as needed.

You will need to have:

· Ability to take initiative with little supervision working both autonomously and collaboratively

· An uncompromising attitude towards discretion and confidentiality

· A keen eye for detail and accuracy and strong proofreading skills

· Have sound organizational and time management skills with the ability to prioritize and reprioritize at short notice

· High-level problem solving, research/investigation and analytical skills

Desired Traits:

· Previous experience in a similar role

· Ability to take initiative with little supervision working both autonomously and collaboratively

· High proficiency in google suite of applications

· Strong interpersonal skills including, negotiation, diplomatic, assertive and empathetic with a high degree of emotional and social intelligence in all aspects of the role
